Privacy Policy of the Japan Society for Endoscopic Surgery
Japan Society for Endoscopic Surgery (hereinafter, “the Society”) has established this Privacy Policy (hereinafter, “this Policy”) on the protection of the personal information of its members as well as non-members who participate in the activities of the Society (hereinafter, “Members, etc.”), and shall handle personal information appropriately based on this Policy.
1. Definition of Personal Information
“Personal information” means information that can be used to identify a specific individual, such as addresses, names, dates of birth, places of employment, telephone numbers, and e-mail addresses provided by Members, etc. via the Society's online system, e-mail, post, FAX, etc.
2. Purpose of Use of Personal Information
The Society shall acquire and use the personal information of Members, etc. within the scope of the purpose of providing services, creating a list of members, conducting research, and updating previously collected personal information, in line with the business purposes of the Society.
3. Provision of Personal Information to Third Parties
The Society will not disclose or provide the personal information provided to it to any third party without the consent of the individual in question, except in the following cases:
(1) Disclosure or provision based on the provisions of laws and regulations;
(2) Disclosure or provision to a contractor whom the Society has entrusted to handle personal information in whole or in part within the scope necessary to achieve the business purposes of the Society;
(3) When the Society needs to disclose or provide personal information for academic purposes; or when the third party to whom the Society provides information is an academic research institution, etc., and the personal information is handled for academic purposes.
As for the personal information of members held within the membership management system and other systems for carrying out business that are directly managed and operated by the Society, there may be cases where members can search for and refer to the names, places of employment, and membership numbers of other members for limited purposes. 4. Management of Personal Information by the Society
The Society shall strictly manage the personal information it has collected to prevent it from being leaked externally, destroyed, tampered with, or lost. In addition, when transmitting personal information via an online system, the Society shall take special care to protect the information by encrypting it, etc. The Society shall take measures to prevent the leakage of stored registered information. Notwithstanding the foregoing, the Society assumes no responsibility for any damage caused by tampering, leakage, etc. of personal information due to unauthorized access by methods that could not be anticipated from a technical standpoint, etc.

6. Requests to Disclose, Correct, Cease Using, Delete Personal Information, etc.
A Member, etc. or their representative may request notification of the purpose of use of retained personal data that identifies the Member, etc. in question; disclosure of the content of such retained personal data or the third-party recipients of such data; correction, addition, or deletion of the content of such retained personal data; or suspension of use, erasure, or suspension of provision to third parties of such retained personal data; in accordance with the procedures prescribed by the Society. 7. About the General Data Protection Regulation
Japan Society for Endoscopic Surgery is currently formulating a policy for the General Data Protection Regulation (hereinafter, “GDPR”); you can refer to our Privacy Policy here.
The GDPR adopted by EU member countries fortifies data privacy rights by giving individuals control over when and how their personal information is collected and used. GDPR mandates came into effect on May 25, 2018.
8. Revision and Application of this Policy
Any revisions to this Policy shall be decided by resolution of the Councilors' Meeting or the Board of Governors. The Society shall promptly notify members of any revision. If rules concerning personal information are established in accordance with the rules separately established by the Society, these separately established rules shall be applied preferentially.
